This is a prototype declaration made by your organisation itself — typically accepted by its verified Administrator Director — before your organisation may submit employee records to ERN.

This prototype clause covers:

  • That the information submitted is accurate to the best of the organisation's knowledge at the time of submission.
  • That supporting evidence exists for material claims made in a submission, consistent with ERN's evidence requirements.
  • That submissions are made in good faith, without malice, and not for the purpose of causing unwarranted harm to an employee.
  • That any disciplinary, conduct, or other adverse information submitted followed the organisation's fair internal procedures, including an opportunity for the employee to respond where applicable.
  • That the organisation will correct any inaccuracies identified in its submissions promptly upon becoming aware of them.
  • That the organisation will cooperate with ERN's dispute-resolution and review processes, including providing further information where reasonably requested.
  • That only authorised users, acting within the organisation's approval workflow, may submit or approve records on the organisation's behalf.
  • That the organisation accepts responsibility for the accuracy and good-faith basis of the submissions made under its account.

This declaration is a prototype accountability mechanism. It should be reviewed and adapted by qualified legal counsel so that it properly reflects your organisation's obligations and the consequences of non-compliance under applicable law.

Why this clause is important

This declaration is intended to support accountability, accuracy, natural justice, and protection against malicious or careless reporting — reinforcing that ERN participation carries genuine organisational responsibility, not merely data entry.

This declaration is intended to be accepted by the verified Administrator Director on behalf of the organisation, as part of completing Legal Setup and before the organisation begins submitting employee records.
