This is a prototype standalone acknowledgement or consent record, kept separate from the general employment contract, so that an employee's agreement to ERN-specific processing is clearly documented and auditable in its own right.

This prototype clause covers:

  • Confirmation that the employee has received and had the opportunity to read the ERN Employee Disclosure Notice.
  • Acknowledgement that structured employment information about the employee will be submitted to ERN.
  • Acknowledgement that verified employers, once granted access under ERN's rules, may view the resulting structured record.
  • Acknowledgement that ERN calculates confidence, consistency, and related indicators as described in the Disclosure Notice.
  • A restatement of the employee's rights — access, correction, dispute, response, and appeal — in summary form.
  • That consent may be withdrawn, subject to the employer's or ERN's lawful retention obligations and any other lawful basis that may continue to apply to the record.
  • A signature block or electronic acceptance mechanism confirming the employee's agreement.
  • A record of the date of acceptance and the version of this document that was accepted.

This is a prototype consent record only. Depending on the applicable legal basis for processing in your organisation's jurisdiction, a signed or otherwise documented acknowledgement of this kind should be reviewed and finalised by qualified legal counsel before use.

Why this clause is important

Keeping this acknowledgement separate from the general employment contract is intended to create a clearer, more auditable record of what the employee was told and what they agreed to — which matters where explicit or separately documented consent is legally required, or simply good practice.

Where your organisation should use this

This prototype document should be signed on paper or accepted electronically by the employee, separately from the employment contract, after legal review — typically at or shortly after the point ERN participation begins.
