ERN processes employment records only for lawful, transparent and clearly defined purposes. Each processing activity is supported by an appropriate legal basis, documented governance policies and clear employer responsibilities. Processing remains subject to accountability, auditability and periodic review so that organisations and individuals can understand why information is held, how it is used, and under what conditions it may be disclosed. This approach supports responsible participation by employers and protection of individual rights.
Where consent is required, ERN records the consent version, the date it was accepted and the notices that applied at the time. Consent records remain auditable so that participation terms can be verified later if needed. Employees may submit review or withdrawal requests where the law allows, and those requests are handled through controlled governance procedures that preserve a clear, accountable history without silently changing prior records of what was agreed.
ERN keeps allegations, employer assessments, employee responses, evidence, reviews, appeals and final outcomes clearly separated. Employees can use dispute, correction and appeal processes when they need to challenge or clarify information that concerns them. Acknowledging a record confirms that it has been seen; it does not mean the individual agrees with its contents or conclusions. Fair process remains central to how contested employment information is handled.
ERN is designed to support human decision-making, not to replace it. Automated processes may help organise work, such as prioritising items for attention or assisting review workflows, but material employment records, disputes and governance decisions remain subject to authorised human review. People remain responsible for consequential judgements that affect employment relationships, organisational duties and individual rights across the ERN platform.
Employers confirm that submissions are made in good faith and that factual information is distinguished from professional opinion. They accept responsibility for the accuracy of employment information they submit, to the best of their knowledge at the time of submission. This declaration reinforces honest participation, supports trust between employers and individuals, and helps protect the integrity of the shared employment record over time.
Employment records are protected through role-based access, controlled disclosure, audit logging, evidence protection and related privacy safeguards. Information is disclosed only to authorised parties and only for legitimate purposes connected to verification, review or individual rights requests. These controls help ensure that sensitive employment details are not shared more widely than necessary and that every access remains accountable and purpose-limited.
ERN keeps employer assessments, evidence quality indicators, confidence measures and recruitment decisions conceptually separate. The platform does not issue hiring recommendations and does not treat automated indicators as final conclusions about a person. Recruiters and employers remain responsible for their own decisions, using ERN information only as supporting context rather than as an automated determination of suitability, risk or outcome.
Governance documents and compliance controls are reviewed periodically so they can reflect legal developments, regulatory guidance, operational improvements and evolving good practice. Reviews help keep the framework current and coherent for both employers and employees. The expectation remains that published rules stay clear, traceable and accountable, and that changes are introduced only through controlled document updates rather than informal amendment.
Governance documents are version controlled so that historical revisions, publication dates, acceptance history and accountability are preserved. When documents are updated, earlier approved versions are retained rather than overwritten.
